HCO uses a standardized email signature, which consists of a graphical line of five unicode “Black Hexagon” ⬢ characters, followed by employee name, title, and HCO contact info.
Installing the email signature can be done independently, or with the direct assistance of the HCO IT team.
We recommend going in order as per below, as this allows for the most consistent result.
Download one of the two linked template files, and adjust to match your name, title, and phone information.
Log in to your HCO email at mail.herzogcompany.com
Go to “Settings”, and scroll down to “Signature”
Click the button with the text “Insert this signature before quoted text…”, to enable the option
Copy your entire modified signature text from TextEdit, and paste it into the “Signature” text box in Gmail
Please note the text will likely look corrupted and garbled — this is weird but normal, and not a problem!
This text will probably need two adjustments:
Select your name, and resize (using the button with the “TT” icon) the name text to “Large”
Delete and re-add the line break between the HCO website and the Instagram URL, to remove the extra space
After this, your text should look like this:
Scroll to the bottom of the settings page, and click “Save”, sending you back to your inbox view
Go back to settings, and confirm that your signature text looks like this:
Compose and send yourself an email, and confirm the signature is working as expected!
Open the default Mail app on your iPhone or iPad, and navigate to the test message you just sent yourself
Select and copy the signature text
Navigate to the Settings app, and go to Mail ➜ Signature
Make sure you have selected “Per Account”, so you can apply this to your HCo email, only
Delete any current signature text in the field for your HCO email
Paste the new signature into the HCO email field
You will notice the pasted signature is all black, and all the same size:
Shake your phone, triggering the “Undo” command
When you get a pop-up dialog asking “Undo Change attributes”, tap “Undo”
Your signature should now have proper text sizing and coloration, like this:
Now, simply tap the top of your signature text, and add two or three returns for separating space, and your iOS signature is ready!
NOTE: If you use the Gmail app, you can start using your Gmail signature by confirming a single setting. Go to Menu ➜ Settings ➜ [your email address] ➜ Signature settings, and make sure Mobile Signature is *disabled*
In Mail.app, go to Preferences ➜ Signatures
Select your HCO email account on the left-hand list of accounts
Click the “+” under the center column, to add a new signature to the account
Un-check the box under the right-hand column, labeled “Always match my default message font”
Copy the signature text from the test email you sent
Paste the signature text into the right-hand box
Confirm it looks like it should, and add any initial new lines to properly space it, as needed
In Airmail, go to Preferences ➜ Accounts
Click on the gear next to your HCO email account listing
Click on the “Signature” tab
Click the “+” next to the “Signature” drop-down menu, to make a new signature, and enter a name
Copy the signature text from the test email you sent
Paste the signature text into the right-hand box
Confirm it looks like it should, and add any initial new lines to properly space it, as needed
Click save, and you are done
For consistency purposes, we recommend you follow the installation instructions in order, or work with the IT team, before this section.
Please note that text sizes are based on the Gmail interface.
Gmail automatically adds spacing between lines, as seen above. If you are not seeing spacing between the sections, please add a single empty line of "Normal" size to achieve proper spacing.
The empty line at the start of the signature is to ensure proper spacing from all body text. In the Gmail interface, a single line should automatically format to be ample; in Apple Mail, Airmail, or other client apps, 2x or 3x empty lines may be necessary.
We use the unicode Black Hexagon ⬢ as the separating character, to align with the HCO logo. Each of the five hexagons is a color of decreasing darkness, creating an ombré effect.
The easiest way to get a hexagon character is to simply copy and paste from this page.
Each hexagon should be "Normal" sized (in the Gmail interface) plain text, and separated by 2x (TWO) spaces:
⬢ [Space] [Space] ⬢ [Space] [Space] ⬢ [Space] [Space] ⬢ [Space] [Space] ⬢
The hexagon coloring is as follows:
Hexagon 1: #000000 — Gmail Gray row, first from left
Hexagon 2: #666666 — Gmail Gray row, third from left
Hexagon 3: #999999 — Gmail Gray row, fourth from left
Hexagon 4: #CCCCCC — Gmail Gray row, fifth from left
Hexagon 5: #EEEEEE — Gmail Gray row, sixth from left
The hexagon coloring is as follows:
Hexagon 1: #000000 — Gmail Gray row, first from left
Hexagon 2: #666666 — Gmail Gray row, third from left
Hexagon 3: #999999 — Gmail Gray row, fourth from left
Hexagon 4: #CCCCCC — Gmail Gray row, fifth from left
Hexagon 5: #EEEEEE — Gmail Gray row, sixth from left
Employee names should be in Bold Text, at Gmail “Large” size.
Employee titles should be in Bold text, at Gmail “Normal” size.
All titles should be followed by a space, then a Unicode “Vertical Bar” | (Shift-\), then a space, then “Herzog & Company”, also in Bold text, at Gmail “Normal” size.
Not all employees need or want to have their titles in their email signatures. If no title is to be used, then this line should simply read “Herzog & Company”.
For employees whose titles reflect a specific show or project, their titles should be followed by a comma, then the show/project name in bolded italics, and then the vertical bar and company name.
Examples of possible Title lines:
Director of Post Production & Technology | Herzog & Company
Executive Producer, The Movies | Herzog & Company
Herzog & Company
This section is standardized for all employees, aside from the Mobile number.
Please note that phone numbers should be formatted as XXX.YYY.ZZZZ — no dashes or parenthesis.
The first line is for the Main HCO phone number, and should always read:
Main: 818.762.4640
The second line is for specific employee phone information. If a mobile is used, please call it “Mobile” and not “Cell” or anything else. This line is optional, and entirely up to individual employees:
Mobile: XXX.YYY.ZZZZ
The third line is for the HCO website, and should always read:
The fourth line is for the HCO Instagram account, and should always read:
(Please note: if prompted for separate links to follow for the text above, the link address should be prefixed with “https://”, so https://www.herzogcompany.com/ and https://www.instagram.com/herzogco/ .)
